A major utility company sought to modernize its key management practices by transitioning from outdated paper logs and mechanical systems to an advanced electronic key cabinet solution. After issuing an RFP, they partnered with an innovative provider whose system exceeded their expectations through flexibility, ease of use, and responsive support.


 

Project Scope & Installation


Comprehensive Deployment:


  • Multi-Site Installation: Three electronic key cabinets were deployed across diverse locations, a 50-key cabinet in one region, another 50-key cabinet at a separate office, and a 30-key cabinet installed at a satellite office trailer near a power plant.


  • Wide-Ranging Use Cases: The system is used to secure and track company vehicles, trailers, equipment, storage facility keys, tools, and even complex lockout–tagout setups at the power plant.


  • Scalable & Dynamic: With approximately 65 employees across two divisions, the system supports multiple access groups and allows keys to be returned to any cabinet slot, facilitating easy asset transfers between locations.


 

User-Friendly System & Robust Security


Ease of Use:


  • Intuitive Interface: Both administrators and standard users benefit from a beautifully simple dashboard that displays key locations and statuses—from cabinet screens to remote access via computers or mobile devices.


  • Flexible Access Options: Users register via fingerprint access (with alternatives such as PIN or badge available), and administrators can manage checkouts, set group restrictions, and receive alerts when specific keys are in use.


  • Granular Control: The system’s features include customizable access permissions, key reassignment, and visual key identification options tailored to any security need.


 

Responsive Support & Continuous Improvement


Proactive Issue Resolution:


  • Tailored Enhancements: When a misunderstanding arose regarding the “Out Notes” feature—used to log key transfers or removals—a dedicated representative collaborated with the development team to refine the functionality.


  • Technical Reliability: Minor technical hiccups during setup were swiftly resolved through close coordination with the utility’s IT provider. Routine issues, such as system lag, were quickly addressed with simple resets, ensuring uninterrupted operations.
